Office Manager

Job Locations US-CA-San Jose
Job ID

The "Internet of Things" (IoT) is expected to grow to $19 trillion over the next 10 years as 50 billion devices are brought online. Aeris is at the forefront of this industry, building networks and applications to enable Fortune 500 clients like Chrysler, Honda and Bosch fundamentally improve their businesses. Headquartered in Silicon Valley with offices in Chicago, London, Delhi, and (soon) Tokyo as well as other markets, we rank among the top ten cellular providers for the IoT globally. We power critical projects across energy, transportation, retail, healthcare and more.

Our company is in an enviable spot. We’re profitable, and both our bottom line and our global reach are growing rapidly. We’re playing in an exploding market where technology evolves daily, and our team is growing week over week. Particularly as we expand, we need an absolutely stellar Office Manager to whip us into shape.

That’s where you come in. As our Office Manager, it will be your mission to help employees work more efficiently, with motivation and a sense of responsibility. As a human resources administrator, you will be tasked with ensuring our employee and immigration files are always maintained, organized, and confidential while ensuring that policies are clearly communicated and relevant laws are understood and followed. You be the first person employees meet when they walk in the door, showcasing our culture while onboarding new hires. You will be the culture leader for your location, working with the administrative team to design and implement programs and events to reinforce a culture of shared responsibility, diversity, integrity, and respect. Lastly, you will also own the San Jose office facility, ensuring that the quality and condition of our work environment meets the high standards that our customers have come to expect from our products and services while keeping ahead of the game of our ever expanding staff.

The role offers the opportunity to elevate a thriving company – in an environment that values innovation, autonomy and integrity. A few things to know about us:

  • We do things differently. As a pioneer in an industry poised to reshape every sector of the global economy, we can’t settle for another company’s tried and tested template. Innovation is the key to our success and it’s reflected in everything we do: from product design to corporate wellness.
  • We are owners. Strong managers enable their teams to figure out how to solve problems. You will be no exception, and will have the ownership and autonomy needed to be truly creative.
  • Integrity is essential. We believe in doing things well – and doing them right. Integrity is a core value here: you’ll see it embodied in our staff, our management approach and growing social impact work (we have a VP devoted to it).
  • We walk the walk on diversity. We’re a brilliant and eclectic mix of ethnicities, religions, industry experiences, sexual orientations, generations and more – and that’s by design. We see diverse perspectives as a core competitive advantage.

Interested? Here’s what we’re looking for:

  • You’re positive. When faced with a problem, you run toward it—not away from it—and immediately start thinking about solutions. At a global startup like ours, trains move fast, and schedules regularly collide; new challenges arise every day. You see opportunity in each and every one of them, and experience empathy, motivation and creativity much more readily than frustration.
  • You’re organized – and efficient. You derive equal pleasure from reorganizing a kitchen cabinet and completely remodeling an entire house. At Aeris, you will be expected to not only design administrative processes, cultural programs and facilities upgrades, but also execute small tasks day-to-day. There’s a lot that needs doing, and your role will be broad and varied. However tiny or massive a project you tackle, you know that the result will be beautiful, and that it will come to life on-time and on-budget.
  • You have excellent judgement when there is no rulebook. You blaze trails instead of blindly following paved paths. You know the reason and rationale behind every decision, and when the time comes to make an informed autonomous choice you feel confident you are doing the right thing. You have the wherewithal to ask questions when you don’t understand.
  • You know how to prioritize. Each day comes with new challenges and additions to your To Do list, and you will never be able to cross them all out at once. But you are a master juggler, knowing at all times the ebb and flow of which items need to move to a back-burner and which others need to jump to the foremost priority. Having a never-ending To Do list does not overwhelm you, and you are still able to push each item forward at a steady pace.
  • You’re trustworthy. Your friends tell you everything, knowing that you will always act in their best interest. At Aeris, you will be trusted to handle confidential information with the utmost discretion, while constantly striving to improve and promote the organization.
  • You’re a great communicator. You are exceptionally good at remembering faces, and are able to engage professionally – both verbally and in writing – with CEOs and interns alike. At Aeris, you will interact with nearly every person who walks in the door.
  • You’re collaborative and capable of working independently. You can work with others to set goals, and by yourself to come up with clear action plans – no sweat. At Aeris, you will work closely with IT, legal, finance, and other Office Managers around the world to drive projects forward. You know when you need to include others and when you don’t.
  • You’re comfortable bowling beyond your lane. Aeris is an “all hands on deck” kind of culture. There’s a lot of work that needs doing, and roles aren’t always as consistent or as strictly defined as they are at most other organizations. That appeals to you. You are willing (even excited!) to complete occasional projects outside your lane, whether they involve supporting our CEO or pitching in on a marketing project.

Aeris is committed to building a workforce that reflects the population. Applicants who identify with groups that are currently underrepresented in the technology industry (including but not limited to Black, Hispanic, Native American, female, transgender, students with disabilities, and more) are all strongly encouraged to apply.
